What this part of MemberCrew does

MemberCrew sends the emails a club needs to run, from the club, at the right time. Application emails, invoices, receipts, event replies, tickets and renewal reminders all go out on their own when something happens in the club’s records. The committee also sends club news to the members who should receive it.

Every email shows the club’s name and is sent through MemberCrew. Replies go to the club’s own email address, so members talk to the club, not to us.

Each member’s record lists every email sent to them, so the committee can answer “did I get my invoice?” in seconds.

Wording the committee controls

Each email’s wording is the club’s to edit, in the club’s settings:

  • placeholders for details such as the member’s name, the amount due and the renewal date, with a warning if a placeholder is misspelt or missing
  • a preview, and a test sent to yourself before anything goes to members
  • earlier versions kept, and the standard wording one click away
  • the club’s payment details and a footer with the club’s name and ABN, locked so they cannot be lost by accident
  • a plain text version made automatically for members whose email program prefers it

Newsletters

Club news goes to an audience the committee chooses by name, such as current members. Editors see how many people will receive it before sending. Admins can open the list of names. Treasurers can send notices to members with an unpaid invoice.

Every news email has an unsubscribe link. One click turns off that member’s club news, and nothing else: invoices, receipts and other emails about their own membership still arrive. Addresses that bounce or complain are remembered, so the club does not keep sending to them.

Several members can share one email address, such as a couple at the same home. A portal invitation always names the member it is for.

Inviting members to the portal

A committee member can invite a member to the member portal from their record. The invitation goes only to the address on the member’s record, can be used once and lasts seven days. The member proves the address with a sign-in link sent to it, and their login is then linked to their own record only.

Who do the emails come from?

Each email shows the club's name, sent through MemberCrew, and replies go to the club's own email address. Members reply to the club, not to us.

Can we change what the emails say?

Yes. Each email's wording is editable in the club's settings, with placeholders for details such as the member's name and the amount due. You can preview it, send a test to yourself, see earlier versions and go back to the standard wording at any time.

When do renewal reminders go out?

On the days the club chooses. A daily job sends each reminder when it falls due, so the committee does not have to remember.

Can members stop receiving club news?

Yes. Every news email has an unsubscribe link, which turns off that member's club news straight away. Emails about the member's own membership, such as invoices and receipts, still arrive.
