Who looks after it
MemberCrew is built and run by ZenByte Australia Pty Ltd, an Adelaide managed IT services provider whose everyday job is protecting other organisations’ systems and data. That is why security and privacy are built into MemberCrew, not bolted on. What that means in practice is exactly what this page lists. More about ZenByte.
Where your records are kept
Your club’s data is stored in Australia, in Sydney. Member names, contact details, payments, vehicles and log books all stay in Australia.
Who can see what
Each committee member only sees what their role allows. The treasurer needs payments; the registrar needs vehicles and log books; someone who helps with events does not need either. An events editor, for example, sees no money and no contact details.
Limiting access this way protects members’ privacy, and it protects volunteers too: nobody has to be trusted with more than their job needs. See roles, access and the activity log.
Who changed what, and when
Every change is recorded in an activity log showing who did what, and when. If a member’s details look wrong, you can see who changed them. When the committee changes at the AGM, the new committee can see the history. And if the club ever needs to show how it keeps its records, the log is there.
Who owns the data
Your club owns its data. Committees can download a full export of all the club’s records at any time, not only when leaving. If a club leaves MemberCrew, it gets a complete export, and its data is deleted on request once the club confirms it has the export.
Card payments
MemberCrew does not take card payments today. The treasurer records payments members make by bank transfer, cash or cheque. Online renewal payments are coming soon: members will enter their card details with Stripe, which will process the payment into your club’s own Stripe account. The club will pay Stripe’s standard card fees directly to Stripe, and MemberCrew will take no cut.

We would rather tell you less and have all of it be true. This page lists what MemberCrew does. If your club needs something not listed here, such as a particular certification, email support@membercrew.au and we will give you a straight answer.
