MemberCrew, membership software built for motor vehicle clubs, is now live with its first South Australian club. It is built in Adelaide by ZenByte Australia Pty Ltd, and it is now open to other clubs that want to see it.
Why MemberCrew exists
Motor vehicle clubs are run by volunteers, and much of the paperwork falls on a few of them. Member lists sit in spreadsheets passed from one secretary to the next. Renewals are chased by hand. Log books are tracked in a folder, and the yearly reports for the Conditional Registration Scheme are rebuilt from scratch every year.
MemberCrew puts those records in one place so the committee can share the work, and so what the club knows does not leave with whoever has been doing the job.
What MemberCrew does
The core plan covers the everyday work of a club committee:
- Members and renewals: membership types and prices, renewals tracked per club year, and a view of who is outstanding. See memberships and renewals.
- Invoices and payments: invoices raised from each member’s record, with statuses from draft to paid, and payments by bank transfer, cash or cheque recorded against them, including part payments.
- Vehicles and log books: a register of members’ vehicles, with each log book’s history and status (current, expired or cancelled).
- The Conditional Registration Scheme: a list of lapsed members still holding log books, and the yearly reports for the Registrar of Motor Vehicles and the Federation of Historic Motoring Clubs SA, each in one click. The club still sends them; MemberCrew does not lodge anything on its behalf. More on how MemberCrew handles the Scheme.
- Events, reports, the member portal and the activity log: public event pages and RSVPs, live reports, a portal where members see their own details, and a record of who changed what and when.
Each committee member sees only what their role allows. Club data is stored in Australia (Sydney), and the club owns it: committees can download a full export of all their records at any time.
Online renewal payments are coming soon: members will renew in the portal and pay through Stripe straight into the club’s own Stripe account, with MemberCrew taking no cut. Email and SMS to members, and a club website add-on, are coming soon too. The full list is on the features page.
Pricing
MemberCrew has one core plan, priced by the number of current members. A current member is anyone whose membership has not ended, so resigned and deceased members do not count.

The size band is set once a year at the club’s renewal date, so the committee knows the cost for the year. Paying yearly gives one month free. A one-off setup fee for moving the club’s records across is quoted per club, including GST. All prices are in Australian dollars and include GST.

Moving across
MemberCrew imports a club’s existing members, payments, vehicles and log books. During the changeover, MemberCrew is kept up to date from the club’s old system until the club is ready to switch over.
